1. Introduction to the company

Known Dating (Pty) Ltd ("Known", "the Company") operates a friend-led matchmaking web application (knowndating.co.za) through which trusted friends ("matchmakers") arrange real-world first dates for single people within boundaries the single sets. This manual explains what records the Company holds and how to request access to them.

3. The section 10 PAIA Guide

The South African Human Rights Commission has compiled a Guide (in terms of PAIA s10) on how to use the Act. It is available from the Information Regulator: inforegulator.org.za, PAIA@inforegulator.org.za, or +27 10 023 5200. It is available in each official language.

4. Records held by the Company

4.1 Records held about users (data subjects)

  • Account records: name, email, optional phone number, city, age confirmation, consent/acknowledgment records.
  • Single profiles (written by matchmakers, approved by the single): first name, age, gender, general area, one photo, endorsements, profile notes.
  • Dating Mandates: boundaries, availability, date preferences, and special personal information (religious-belief importance, who the single is open to meeting) — processed only with explicit consent.
  • Activity: matchmaker-to-matchmaker chats, scheduled dates, logistics messages, network nudges, post-date feedback, safety reports.

4.2 Other records

  • Company statutory records (Companies Act 71 of 2008): MOI, registers, minutes, financials.
  • Tax records (Tax Administration Act 28 of 2011).
  • Employment/contractor records, where applicable.
  • Supplier/operator agreements (Supabase, Vercel, Resend, Paystack).

5. Categories of records available without a formal request

  • This PAIA manual.
  • The Privacy Policy, Terms of Service, Safety Guidelines, and Matchmaker Promise (published at /privacy, /terms, /safety, /matchmaker-promise).
  • Records a data subject can already see in their own account in the app.

6. How to request access to a record

  1. Use Form 2 (Request for Access to Record) prescribed under PAIA (available from inforegulator.org.za).
  2. Send it to the Information Officer at admin@knowndating.co.za.
  3. Provide: sufficient detail to identify the record and the requester, proof of identity, the form of access required, and a contact address.
  4. Data subjects asking for their own personal information can also just email admin@knowndating.co.za — we verify identity and respond within 30 days (POPIA s23/s24). We may refuse or redact where the record would reveal another person's personal information (e.g. a safety reporter).

7. Fees

Access may attract the prescribed PAIA fees (a request fee and, where applicable, an access fee). A data subject's request for their own personal information under POPIA is handled without a request fee; reproduction fees may apply. The current fee schedule is available from the Information Regulator.

8. Grounds for refusal

Access may be refused on the grounds set out in Chapter 4 of PAIA, including: mandatory protection of another person's privacy, commercial information of a third party, confidential information, and records privileged from production.

9. Other rights and remedies

  • A requester may lodge an internal appeal or complaint, or apply to a court, as PAIA provides.
  • On privacy matters, a data subject may complain to the Information Regulator: complaints.IR@inforegulator.org.za · inforegulator.org.za.

10. Availability of the manual

This manual is available: on the website (knowndating.co.za), from the Information Officer on request, and at the Information Regulator.

11. Updates

This manual is reviewed when the Company's records or processing materially change, and at least annually.
